Overview:

Job Title: Accounts Payable Specialist

Job Location: Vienna, Virginia

Job Responsibilities:

Trace Systems is actively recruiting for an experience Accounts Payable Specialist to join our Corporate Finance team in Vienna, VA.

Duties and responsibilities to include:

  • Vendor setup/maintenance

  • Receive and route vendor invoices for approval

  • Attach Purchase Orders and receipts to invoices as necessary

  • Code and enter A/P and PO invoices into accounting system

  • Ensure all monthly recurring invoices are recorded timely

  • Ensure invoices are paid in accordance with vendor terms

  • Reconcile vendor statements, research and resolve discrepancies

  • Export electronic expense reports from accounting software (Deltek T&E to Costpoint)

  • Audit expense reports to be in compliance with company policies and JTR

  • Verify supporting documentation, amounts claimed and per diem rates on expense reports

  • Post expense reports in Deltek Costpoint

  • Print and distribute A/P checks to include invoices, expense report reimbursements

  • Maintain A/P vendor files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices

  • Perform monthly balance sheet reconciliations

  • Prepare and distribute 1099’s

Minimum Qualifications:

  • Due to the nature of the work and contract requirements,US Citizenship is required

  • 2 years of accounts payable work experience

  • Proficient knowledge and use of MS Excel and MS Word

  • Experience using Deltek Costpoint, Deltek Time & Expense, and SharePoint

  • Knowledge of accounting principles, practices, and procedures

  • Proficient in data entry and data management

  • Good people skills for working with a range of colleagues and clients

  • Well-organized, self-starter who prioritizes and plans work activities and uses time efficiently

  • Must identify and resolve problems in a timely manner; gathers and analyzes information skillfully

  • Must adapt to changes in the work environment; able to manage competing demands and deal with frequent changes, delays or unexpected events

  • Attention to detail and accuracy

Desired Qualifications:

  • 2 years of experience within a Federal Contractor environment preferred

Education:

  • High School diploma required

  • Bachelor’s Degree preferred, but not required
