Job Description

Purpose:

The Academic Advisor III provides administrative support for the ECE Graduate Program. Assists in processing paperwork for 750+ graduate students, including paperwork for international students for TAMU International Student Services (ISS). Processes CPT, OPT, RCL, and F-1 Extension forms for ECEN graduate students. Manages all aspects of CPT paperwork, ECEN 684 course registration, and communication with students and ISS officials. Facilitates RA letter requests for faculty and corresponds with the ECEN Business Office accordingly. Handles prerequisite override requests during course registration. Manages 689 and new course requests; uses CARS to track progress. Submits Grad Fac requests for new and joint appointment faculty. Orders faculty regalia for graduation. Assists in overseeing Distance Learning Program. Uses Compass, Howdy, and Reports.

Responsibilities:

  • Processes electronic forms for ECEN international students, including CPT (Internship), OPT, RCL and F-1 Extension forms.

  • Communicates with officials at TAMU International Student Services (ISS) as necessary.

  • Manages all aspects of CPT departmental processing paperwork and communication with students and ISS as needed.

  • Informs students of departmental policies regarding internship.

  • Facilitates student registration of ECEN 684 each semester.

  • Processes override requests for ECEN graduate students during pre-registration and open registration.

  • Assists in overseeing the Distance Learning program.

  • Manages 689 and New Course Requests for the graduate program. Communicates with faculty and the Dean’s Office; uses CARS to submit course information and track until completion. Keeps faculty informed of progress and updates 689/New Course database.

  • Facilitates RA letter requests for faculty and corresponds with the ECEN Business Office accordingly. Tracks RA letter requests and obtains appropriate signatures from student and faculty.

  • Submits Grad Fac requests for new and joint appointment faculty and tracks them to completion. Orders faculty regalia for graduation and coordinates pick-up. Assists Assistant Director with Qualifying Exam twice a year.

  • Assists Co-Director of Graduate Program with AEFIS submissions once a year by collecting relevant data, as needed.

  • Performs other duties as assigned.

What we need:

  • Bachelor’s degree in relevant field or equivalent combination of education and experience

  • Four years of related experience

What is helpful:

  • Relevant professional level coordination-type work activities handling research/academic administration functions including quality control and/or records/files management.

  • Experience with the TAMU System
