Job Description Summary
The Administrative Associate V works under general supervision and provides highly advanced administrative support. Join a team of professionals working collaboratively across 46 counties in the West Region. In this role, you'll coordinate daily office activities, manage complex and confidential matters, and support various administrative functions, ensuring seamless operations and effective communication across the region. Your contributions will be vital to the team's success in delivering exceptional service and achieving organizational goals.
Responsibilities
Office Support:
Coordinates daily office support activities and administrative interactions.
Assists in the coordination of daily workflow and the resolution of complex, highly sensitive, and confidential matters.
Exhibits organizational planning and problem-solving skills.
Agency Support and Collaboration:
Collaborates with and serves as liaison between Extension professionals, Research professionals, University professionals, administrators, support personnel, and clientele on a regular basis which requires tact and the ability to deal with difficult situations.
Provides assistance to county staff including County Extension Agents and county support staff members with timely information regarding ongoing and special requirements.
Promotes timely, consistent information flow to all personnel through established communication channels.
Decision-making:
- Makes independent decisions on a daily basis, addressing the best way to handle specific tasks. Identifies opportunities to improve business operations or objectives.
Communications:
Performs advanced word processing, desktop publishing, presentation, and data management activities and assists staff with the use of these applications to produce high-quality documents containing text and graphics.
Maintains materials for availability online or coordinates such activities.
Leadership:
Coordinates with administrators and co-workers to lead and/or participate in meetings.
Develops strong relationships with cross-functional teams and departments.
Event Management:
- Assists in the planning and management of special events and coordination of logistical arrangements.
Financial Management:
- Performs clerical functions to process and manage account transactions and assists in compiling annual budget information and reporting.
Travel Management:
- Coordinates travel and performs clerical functions to process and manage associated financial transactions.
Project Support:
- Assists management in the coordination of office support activities and provides administrative support to specialized activities or projects.
Qualifications
Required Education and Experience:
High School Diploma or equivalent combination of education and experience.
Five years of related experience.
Preferred Experience:
Event planning, organizing and management.
Financial account processing and management.
Proficiency with Microsoft Office Suite
Proficiency with Adobe Acrobat (or similar program).
Ability to create graphic design content across various mediums, including digital, print and social media platforms. (ie Canva)
Knowledge, Skills and Abilities:
Strong verbal and written communication skills to include proficiency in a variety of writing styles, spelling, punctuation, and sentence structure.
Strong interpersonal, teamwork, time/task management, and organizational skills.
Ability to work with sensitive information and maintain confidentiality.
Knowledge of word processing, spreadsheet, and database applications.
Ability to effectively utilize a computer and applicable software to create databases, perform statistical analyses, present data, and perform other computer related tasks as assigned.
Ability to effectively utilize technical equipment as assigned.
Ability to multitask and work cooperatively with others.
Physical Requirements:
- Must be able move moderately heavy objects and stand for extended periods of time as required.
Other Requirements and Factors:
Must have a valid driver’s license.
Ability to manage multiple projects simultaneously and work cooperatively with others.
Ability to serve on committees and work as a team.
Ability to identify and anticipate needs.
To effectively carry out the duties of this position, it is essential to be at work, in-person, Monday - Friday 8AM - 5PM.
