About This Role

Reports to – Regional Customer Operations Manager - Japan

Working as part of team Japan and under the supervision of the RCOM-Japan, the Candidate Manger will be required to perform the below functions.

Job Summary

  • Draft and Issue contracts (New & renewals) for candidates as per client need.

  • Make ongoing changes to candidate profile on bullhorn (Pay changes, placements, personal information changes, placement changes, position changes, add required files, contract, NOK forms, Etc)

  • Ownership of answering candidate issues.

  • Answer contractual questions/issues as they may arise from the pilots on contract and or Airline.

  • Work with clients, candidates, and internal accounts teams to ensure candidates are paid correctly and on time every month.

  • Work with candidates and client regarding any candidate ad hoc requests like SL, Vacation requests, short working month etc

  • Communicate with candidates regarding any changes in terms, rules or policy changes introduced by the client.

  • Assisting pilots (current & former) obtain letters as required – (contract dates and earnings letters).

  • Ownership of ensuring candidate placements being recorded in ATS and all personal and pay data is updated in the system as required on ongoing basis.

  • Build and maintain strong relationships with existing and potential contract pilots to ensure pilot satisfaction and attrition KPIs are met.

  • Protect and grow gross profit within existing customer base in line with targets.

  • Build and maintain strong operational and management relationships with allocated candidate and customer base.

  • Responsibility for the implementation and management of terms and conditions including Insurances, and ensuring each department is adequately informed of the conditions applied.

  • Support the Customer management team in adoption and roll-out new practices, contract amendments, changes to salary or entitlements, fleet, or base changes, etc.

  • Actively participate in daily and weekly meetings as part of the Customer Management and Operations team

  • Represent the company at candidate meetings, via virtual or face to face conferences and events.

  • Liaising with clients and trainees to arrange necessary documents to enter Japan.

  • Ownership of candidate onboarding, offers, drafting contracts, sending contracts, and supporting documentation required before joining.

  • Ownership of ensuring candidate placements is recorded in bullhorn and all personal and pay data is updated in the system as required on ongoing basis.

  • Manage travel and accommodation bookings/logistics for candidates as per client need and manage refund/recharge as required.

  • Manage candidates in recruitment stages to ensure necessary arrangement are made for them to attend assessment when required.

  • Responsible for arranging documentation required for candidates on contract and in recruitment stages as required by client.

    Essential Duties & Responsibilities:

The ideal candidate will be

  • Strong ability to build relationships (internal and external)

  • Very customer focused with a strong emphasis on customer and candidate satisfaction.

  • Ability to use recruiting and reporting systems together with Microsoft office to improve efficiency and availability of relevant reporting.

  • Strong adherence to processes, and an understanding of the importance of efficient and professional candidate management

  • Strong numeric and reporting skills, with strong attention to detail

    Knowledge and Skill Requirements

  • 2-5 years job related experience is essential.

  • 2-5 years working in the aviation industry in a customer/client facing role is highly desirable.

  • Excellent English language skills both verbal and written is essential.

  • Experience in managing temporary workers on a global basis is highly desirable.

  • Third level degree in HR, Business or legal discipline is highly desired.

  • Experience using ATS systems ideally Bullhorn.

  • Experience working with Japanese clients/customers is highly desirable.
