Bentley Systems Corporate Events Production Manager in United States
The Corporate Events Production Manager will plan, organize, and provide logistic support for trade shows, conferences, and self-created customer events. This role also involves all operational, implementation, and post-event activities.
Duties and Responsibilities:
Coordinate logistics and deliverables for trade shows, manage the shipment of exhibition assets to and from events, coordinate show and contractor labor for events, and manage the Bentley Events warehouse.
Work closely with internal and external event planning groups to align with event goals and objectives, determine the best booth options, and develop specific implementation plans that promote the organization's goals.
Work with vendors, such as booth and show vendors, to ensure timely, cost-effective execution. Negotiate agreements with outside providers and subcontractors to provide the lowest cost and highest quality of service.
Assist in producing, coordinating, and delivering internal and external pre- and post-show experience and communications, including but not limited to booth design, electrical layouts, and other related services.
Coordinate the shipping and receiving event booth(s), display units, computer hardware, collateral, and promotional items in highly time-sensitive and deadline-driven situations.
Travel and support logistics and events on-site as needed.
Work closely with the global marketing team to execute brand campaigns for in-person events.
Supervise, direct, and coordinate the activities of subcontractors and vendors as required to successfully execute all aspects of the event on the scheduled delivery day.
Maintain event-related expenses while being budget-conscious and providing cost estimates for budgeting.
Improve and optimize event management processes, logistics, and execution according to the overall marketing strategy and departmental goals.
Work with creative staff and vendors to provide production deadlines and ensure materials are produced and available for events.
Other projects and assignments may result and be assigned to accommodate the changing needs of the department and the Company.
Experience in preparing IT and event-related computer hardware, software, and equipment for Bentley events is a plus.
Qualifications
A bachelor's degree in business, Marketing, or a related field is highly preferred.
A minimum of 7 years' previous experience in Management tradeshow support, shipping and warehouse logistics, or a related field is required.
Strong written and verbal communication skills, with attention to detail.
Strong organizational, project management, and problem-solving skills.
Proficiency in Microsoft Office: PowerPoint, Excel, and Word are required.
Travel is expected in this position.
Able to operate warehouse equipment, e.g., pallet jack, forklift…
Highly organized and able to multi-task under time constraints.
Must be able to lift to 25 pounds and handle equipment weighing up to 60 pounds.
Knowledge of Event Management software systems is highly valued.
