DESCRIPTIVE STATEMENT:
The Court Technician is a non-exempt clerical position under general supervision of the Municipal Court Administrator and the Municipal Court Judge. The Court Technician is responsible for direct customer service with the public, entering all citations, and ensuring accurate information is entered into the court’s records.
This job description is an overview and is intended to describe the general nature and level of work being performed. It’s not intended to be an exhaustive list of all the functions and tasks required of the position.
DUTIES & RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
Processing various types of tickets and summons including animal control, general offense, health department, traffic, sales tax, and zoning
Ensures accuracy of information on tickets, summons, defendant information forms, and other court documents
Schedules court dates to coincide with Police Department, Animal Control, Sales Tax, Health department and Zoning personnel schedules
Schedules pretrial hearings
Provides customer service at the counter which requires interfacing with attorneys, defendants, and members of the general public
Prepares deferments on routine tickets
Explains and provides information regarding Municipal Court procedures
Work closely and cooperatively with Police Records personnel, other department personnel, other City department personnel and the public to provide information
Performs in-court clerk duties as required or requested, including but not limited to assisting the Judge with case specific questions, maintaining daily docket, and operating all in-court technology
Uses a computer terminal and computerized cash register, and handles large sums of money on a daily basis
Maintains required Municipal Court records
Cross trains as requested
IMPORTANT FUNCTIONS:
May perform the duties of similar classifications of an equal pay grade; and
With approval may step up to Court Technician II or Lead Court Technician duties as necessary.
PHYSICAL REQUIREMENTS:
The physical standards an employee must meet in order to perform the essential job duties with or without a reasonable accommodation include, but are not limited to:
The incumbent must have the ability to lift and move files and supplies weighing up to 45 pounds
Work is sedentary and done in a seated position, but requires frequent moving about, standing, bending, kneeling, reaching, or stooping to perform filing
Position requires the ability to input large amounts of data using repetitive motion on a frequent and prolonged basis
The incumbent must be able to hear all communication from customers and employees by telephone or in person, and use vision to work with written documents, forms, and to respond to employees and customers
KNOWLEDGE, SKILLS & ABILITIES:
The Court Technician shall possess the following knowledge, skills, and abilities:
Perform multiple diverse tasks in an organized fashion and prioritize work to meet the needs of the department
Adapt readily to new methods, operations, and technology
Ability to type accurately at a moderate speed using a computer
Knowledge of legal/court policies and procedures
Understanding of general clerical methods such as answering and transferring telephones, making copies, filing, and scanning documents
Ability to perform detail data entry accurately
Knowledge of basic legal/court terminology
Ability to make basic/elementary mathematical calculations
Ability to handle and count money and return change to customers
Ability to schedule hearings and court dates
Ability to problem solve and resolve issues with professionalism
Work well under pressure to manage stressful situations with minimal errors to work product
Skills necessary to communicate effectively and work successfully with other City personnel and the public are necessary
Ability to work successfully with and provide good customer service to supervisors, other City employees, the public and other agencies, and organizations
Skilled with written communication
Knowledge of Microsoft Office products such as Word and Excel
Ability to learn new tasks and skills
Ability to organize, prioritize and timely complete job duties
Ability to resolve issues with professionalism
Ability to maintain high level of confidentiality
Ability to perform all the job duties in a safe manner
MINIMUM QUALIFICATIONS:
In addition to the knowledge, skills and abilities listed above, this position requires the following:
A high school diploma, GED, or higher education (associate degree or higher preferred)
At least one (1) year recent clerical experience of detailed records management in a high paced environment
A valid driver’s license at the time of application, and a valid Colorado driver’s license within 30 days of employment
License restrictions that may hinder your ability to drive on City business, such as an interlock, will be cause for disqualification
During the course of employment, a valid license must be maintained, and the employee must notify the City immediately upon changes to the status of their license
SPECIAL CONDITIONS OF EMPLOYMENT:
The duties in this classification are primarily performed indoors, in a comfortable office environment. The incumbent must demonstrate the ability to meet the physical demands of the job including the ability to retrieve information from various locations in the office when needed. The individual will be frequently exposed to periods of demanding activity, frequent interruptions, and high mental stress. Incumbents must be willing to work additional hours or overtime, if required. The incumbent may be assigned to work night court sessions. The position requires a great deal of interpersonal communication with City employees, the public, and outside agencies. Punctuality and attendance are an especially high priority as the individual may be the sole clerical support. The incumbent must be able to maintain a high level of confidentiality and integrity as they are required to handle extremely sensitive information.
All required licenses and certifications must be maintained throughout the term of employment. Failure to obtain or maintain licenses and certifications may result in demotion or termination.
Due to Federal and State Criminal Justice System access requirements, classifications that access and maintain criminal justice information may also be required, as a condition of employment, to not have been convicted of and/or have pending charges of a felony or misdemeanor crime that would deny or otherwise restrict access to criminal justice information. This requirement applies to all existing City employees as well as external candidates seeking to fill positions that meet the given criteria.
