Schroeder-Manatee Ranch Events Coordinator in United States

POSITION SUMMARY: Lakewood Ranch is the fastest-selling multi-generational community in the United States because it offers a rich and textured life simply not available elsewhere. A large component of our lifestyle offerings and signature events take place in our two popular town centers, Waterside Place and Main Street. The innovative programming that takes place in our town centers draws visitors from throughout the region and differentiates Lakewood Ranch in the marketplace. Our award-winning Lifestyle program will continue to be a significant pillar of our marketing strategy to sustain interest in our community and generate home sales in the future.

This position assists with the planning and onsite management of events at Waterside Place and Main Street town centers, including but not limited to the signature events, to ensure the best possible experience for our community. This position crosses many departments and entities in the facilitation and execution of events, and the administration of calendars, websites, and inventories. Strong interpersonal and organizational skills required to excel in this fast-paced environment

WORK SCHEDULE: Monday to Friday 8:30 AM to 5:00 PM, 40-hour work week aligned with event schedule, including evenings and weekends. Signature Events include but are not limited to:

  • Farmers' Market: Every Sunday 9 am – 2:30 pm

  • Ranch Nites: Wednesdays (Oct – May) 5 pm – 9:30 pm

  • Music on Main: The first Friday of each month, 5 pm – 10 pm

  • Sights + Sounds at Waterside Place: 1x per month

  • Movie in the Park: Second Friday of each month, 6pm-10pm

  • Mindful Tri: January Annually

  • Fourth of July: July Annually

  • BooFest: October Annually

  • Tribute to Heroes Parade: November Annually

  • New Years' Eve: December Annually

ESSENTIAL FUNCTIONS:

  • Serve as support to Events Manager, including onsite event plan execution.

  • Assist in planning events from start to finish according to requirements, target audience and objectives to showcase the town centers, Lakewood Ranch Main Street and Waterside Place.

  • Support implementation of tenant events and town center marketing campaigns, activities and promotions.

  • Attend onsite events as scheduled.

  • When on-site at events, ensure proper setup, sound execution, and quality community relations

  • Assist in coordination and planning of event operations and logistics, including vendor communication, parking, scheduling, music, rentals, etc.

  • Assist with tracking events budget, processing invoices, and adherence to budgets

  • Proactively provide feedback and continue to provide innovative ideas to enhance the success of our events

  • When on-site, act as a liaison to event staff and contractors (event coordinators, caterers, vendors, etc.)

  • Manage additional promotional activities that may take place at the event

  • Ensure event is implemented to the highest of standards and resolve problems that may arise

  • Assist in analyzing the event's success and prepare reports for management

  • Work closely with Events Manager and Property Management of town centers to proactively manage issues

  • Lifestyle Event Administration, Promotions, and Marketing

  • Manage lifestyle community calendars across multiple websites including www.lakewoodranch.com, www.myLWR.com, www.watersideplace.com, and www.lwrmainstreet.com.

  • Respond to general event inquiries via email and phone calls.

  • Responsible for coordination with Social Media Manager to promote events on social media.

  • Assist in the development of marketing strategies for all events and activities to ensure attendance goals are achieved.

  • Create and promote event registrations, leveraging Lakewood Ranch's marketing channels

  • Coordinate event specific marketing collateral, such as signs, rack cards, flyers, ordering and installation/distribution.

  • Coordinate promotional items ordering for programming and events

  • Order, track, and inventory event supplies

  • Assist with event permitting application process, when necessary

  • Other duties as assigned

  • Professional presentation and friendly acumen

  • Must have above-average computer skills, and ability to learn new software quickly and thoroughly

  • Knowledge of all Microsoft Programs (Outlook, Word, Excel, and PowerPoint)

  • Proficient in Facebook and Instagram
