ICONMA, LLC Project Manager II in United States

Our Client, a Consumer Products and Software Services company, is looking for a Project Manager II for their Austin, TX/Hybrid location. Responsibilities:

  • Manage master FY Roadmap for brand team by quarter

  • Drive project milestones with team from project approval, through strategic development, creative development and production to completion.

  • Ensure schedules and roadmaps are communicated and shared with all stakeholders

  • Work closely with Resource Manager through casting process and update them regularly to manage creative and design resource allocation and changes

  • Set up and facilitate Brand-led weekly huddles and status meetings, tracking action items and partnering with Brand Team to run.

  • Manage the scheduling and agenda for Brand-led creative reviews across pod working in liaison with the Brand Manager

  • Work with Brand Manager to prioritize and align team on daily, weekly, monthly focus, working together to solve conflicts ahead of time

  • Work with Brand Creative Director and Team to define creative concepting process and structure of reviews specific to project needs

  • Facilitate Brand-led creative reviews and all connection points including scope, attendees, location, facilities, materials.

  • Ensure that project materials are captured and archived

  • Connect with Functional and Production partners to share updates during creative concepting phase

  • When in reviews, take meeting notes and align with Brand Manager to distribute as needed

  • Guide Functional teams on scheduling of Functional creative reviews with Brand team

  • Manage team server logistics: set-up, communication, disclosure lists, folders, organization

  • Manage confidential team work spaces, logistics calendars, badge access

  • Closing out projects and archiving project materials (briefs, documentation, creative concepts, etc.)

  • Internal Planning Creative Support

  • The ideal candidate will thrive in a collaborative, fast-paced environment, demonstrate outstanding interpersonal skills, and show a proactive approach to solving problems.

  • Duties could include sourcing, collating and providing information, building and updating Keynote templates, managing agendas and schedules, coordinating meetings and video conference calls, ensuring files are on time and in the right location, other miscellaneous tasks. Support will include coordinating cross-functional meetings across various locations, ensuring great communication and collaboration.

  • You will also plan and support multiple team events and meetings, bringing creativity and attention to detail to team needs and activities.

  • The REM Leadership team has a variety of repeatable, digital deliverables that must be created, maintained, updated, and delivered on a set cadence and on the fly.

  • This role will be responsible for the creation and frequent updates to executive-required data sets and reports, in support of the Internal Planning Lead.

  • REM POR, Key Work Stream status, Headcount, Org Charts, Financials, etc.

  • Leadership team specific updates on executive-sponsored projects, programs and key deliverables of the organization.

  • These are often in the form of Keynote slides and exec summaries, truncated versions of highly detailed reporting.

  • The REM Leadership team, is to be prepared with data, reporting and at times working-sessions with their partners and teams for key RLT + Exec-level meetings.

  • This ‘readiness’ requires strategic planning as well as driving creation of key deliverables.

  • Quarterly Off-sites, Weekly and Bi-weekly critical meetings with Apple leadership,

  • Annual events that require more than standard time to prepare: RLC, Starlight, key BOD meetings

  • Develops and nurtures relationships with key Chief of Staff and Exec Admin community within Retail, expanding network to pan-Apple in time.

  • Proficiency in Apple products including, Calendar, Numbers and Keynote

  • Strong written and verbal communication skills, with professionalism and tact when interacting with senior executives and team members

  • Demonstrated discretion and sound judgment when handling confidential and sensitive information

  • Resourceful problem-solver with the ability to prioritize and manage multiple tasks efficiently in a multifaceted environment

  • Coordination of initiatives; communication, tracking and documentation of deliverables within timeline, and preparation of project updates
