This is a part-time position with a maximum of 1,508 hours per year and is not eligible for paid holidays, leave, or benefits.
Job Description
The Staff Assistant II-PT position performs a wide range of administrative and office support activities. Duties include answering and directing phone calls, filing, coordinating meetings, tracking performance evaluations, completing multifaceted projects. Additionally, the position also performs data entry and provides customer support by researching and/or providing information to the public and other staff members. Furthermore, the position serves as a liaison to all divisions within the department by providing customer-focused support which helps the organization achieve the projected goals and objectives.
Essential Duties
Respond to incoming maintenance requests via email or phone while routing appropriately
Document maintenance requests in Fire Facilities Tracking spreadsheet
Ensure data on invoices are correct and route to Section Manager for approval
Communicate with vendors to correct invoices and upload to Filenet
Audit incoming Procurement Card transaction sheets and send to our Finance Section for approval
Data entry of incoming invoices, P-Card transactions, etc. into spreadsheet
Point of contact for internal staff and external vendors while communicating efficiently
Other Job Requirements/Information
- This job requires a public safety background check which may include motor vehicle & criminal histories, credit check, and fingerprinting.
Grade
The grade for this position is 97.
Effective 4/11/2023, this position is eligible for the Employee Referral Program.
Minimum Qualifications
High School Diploma, or G.E.D.
One (1) year of administrative support or related office experience.
Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
Preferred Qualifications in addition to the above minimum qualifications
- Experience in data entry and finance while using: Microsoft Excel, Word, etc.
