Secretary Job Location: Wallingford Center, Connecticut
Secretary - Grand Mason Lodge
fulltime - 40hrs Days
Essential Duties and Responsibilities:
Provide support to Administrative Assistant in daily office operations. Assist Grand Lodge line officers as needed.
Interact with members, Lodges, general public on a daily basis for questions and information. Research Masonic genealogy requests from members or families. Identify and recommend enhancements or new procedures.
Maintain all paper and computerized records in a neat and orderly manner. Prepare correspondence, minutes, reports, memoranda, special projects, statistical information and related material as requested by the Grand Secretary. Scan documents and graphics for various staff members and convert to proper formats
Assist with design of awards, flyers and inserts for publications and the Grand Lodge website Answer, handle and/or transfer phone calls and messages within the office promptly and courteously Maintain filing system for all correspondence and committee documentation. Open and distribute incoming mail. Responsible for general, monthly, quarterly and annual mailings Oversee supplies on hand for office operations and sale to lodges, maintain control system and ordering of additional supplies.
Verify and confirm lodge election entry by lodge secretary. Verify and confirm officer administrative rights to Grand View
Create and update forms, manuals as needed. Assist with printing and production of office materials
Assist with creation of all materials for Grand Lodge communications
Collect, record and deposit donor monies. Maintain and update Foundation contributions in Excel Create acknowledgement letters and certificates
Masonicare compliance evaluations. Participate, no less frequently than annually, in performance evaluation with Grand Secretary or his designee. Perform other duties as assigned

Key Competencies: Team oriented; work independently; strong organizational skills; attention to detail; proficient in the use of Microsoft Office Suite software including, but not limited to Word, Outlook, Excel, PowerPoint, Publisher; able to handle multiple requests; able to handle confidential information; excellent verbal and written communication skills; excellent customer service skills and professionalism.
Provides care and services that demonstrate behaviors and the principles of person-centered care including affording people dignity, respect and compassion, offering coordinated care, support and treatment and care that is personalized.
