Job Overview
The Executive Assistant to the Vice President has key responsibilities that include, but are not limited to, coordinating and scheduling meetings and events, developing presentations, arranging travel, drafting and editing correspondence and reports, and responding to inquiries. They also serve as office manager for their direct reports within Planning & Facilities Management (PFM).
Additionally, they provide project management support for small to medium-sized special initiatives, which vary given the VP’s unique and exciting portfolio that includes Facilities Management, Capital Projects, Energy and Utilities, Maintenance, Custodial and Grounds, Transportation Management, Residential Services, and Environmental Health & Safety. Separately, the VP and their Chief of Staff oversee Corporate Partnerships, providing various opportunities for exposure and project management experience.
Work Interactions
The Executive Assistant reports to the Vice President’s Chief of Staff and directly supports the VP, the Associate VP of Facilities Management, and the Assistant VP of Capital Projects.
They have considerable visibility as the initial point of contact for the VP and regularly work with administrative staff of the Chief Operating Officer, the Office of the President, the Office of Advancement, and other departments.
Additionally, they serve as a primary point of contact for faculty, staff, students, alumni, university officials, as well as local, national, and international government officials and VIP dignitaries.
Qualifications
Bachelor’s degree - preferably in business, communications, project management, or another related field
2 to 4 years of progressively complex administrative and customer service experience supporting senior leadership or C-level executive(s) - preferably in a university environment
A self-directed team player who takes initiative, anticipates needs, ensures consistent high-quality products and materials, and adapts to different situations
Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) and in Google productivity software (Gmail, Google Calendar, Drive, etc.)
Excellent written and oral communication skills, including grammar, spelling and composition
Organizational skills and analytical abilities.
Proven interpersonal skills and experience providing complex administrative support in a high-profile environment with courtesy, professionalism, diplomacy, efficiency, and confidentiality
Ability to effectively manage and prioritize multiple tasks under pressure
Preferred qualification
Functional knowledge of web editing software such as WordPress

Pay Range:
The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:
$47,586.00 - $87,558.13
Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
