ASRC Federal Holding Company Senior Documentation / Project Support Specialist - NASA Headquarters in Washington, District Of Columbia

ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management services for real-time, mission-critical defense systems. We are seeking a Senior Documentation / Project Support Specialist to support a NASA contract in Washington, D.C.

Job Description: Provide Project and Documentation Management Support to the Director and Deputy Director of the Office of the Executive Secretariat (OES) by managing and maintaining OES action management, reporting, records management, and Agency Roles lists and access management in SharePoint.

The OES is responsible for ensuring that the Office of the Administrator decisions are timely, informed, fully documented, properly archived, and readily retrievable, and that commitments to certain key NASA external stakeholders are fulfilled. The OES implements the NASA governance system and documents and promulgates internal NASA policies and requirements, as well as external regulations codified in the Code of Federal Regulations. The OES manages Office of the Administrator formal approvals and correspondence, implements NASA's Audit Liaison Program, and monitors compliance with Presidential Executive Orders.

Responsibilities:

Documentation Management

  • Provide support to the OES, Office of the Administrator Records Liaison:

  • Acquire a general understanding of Federal Records Management and NASA Records Policy.

  • Research process and procedures and recommend improvements to create and maintain Standard Operating Procedures, User Guides, SharePoint File Structure, and develop/track schedules for milestones/actions etc.

  • Provide support that improves data collection efforts.

  • Assist with drafting internal communications and reminders.

  • Manage and prepare NASA Forms for Archiving Actions.

  • Handle documents securely and follow established protocols. Maintain confidentiality of all sensitive information in compliance with Controlled Unclassified Information (CUI) policy.

  • Review records independently and prepare recommendations/actions for the Records Liaison.

  • Serve as the point of contact to maintain and organize organizational and task lists.

  • Review and update as needed.

  • Collaborate with others to compile and manage shared lists.

  • Implement version control for critical lists and update within established timelines.

  • Provide access to personnel as needed.

Project Support

  • Prepare and edit reports, presentations, and other important documents. Ensure accuracy, clarity, and adherence to organizational standards.

  • Facilitate internal communication by acting as a liaison between the Director, Deputy Director, and Team/Program Leads. Bridge communication gaps and ensure effective collaboration across Teams/Programs.

  • Document/update policies, procedures, and instructions which reflect lessons learned and solutions applied in the OES environment.

  • Maintain and manage the Agency Roles list and associated distribution lists.

  • Maintain and manage OES websites (OneNASA; OES SharePoint), databases and document collections. Implementation may include support on updates and access control.

  • Organize and attend meetings:

  • Take meeting minutes, keeping records of decisions and action items.

  • Manage event logistics by booking rooms, coordinating hybrid and virtual set up, keeping attendance.

  • Ensure timeline follow-up on action items and project milestones.

  • Research and compile data; provide relevant information to support decision making for Senior Leadership.

  • Provide monthly status reports sharing status of project deliverables and anticipated issues.

  • Conduct quarterly validation of access control lists with access permissions database to associated distribution lists.

Additional duties as assigned.

Requirements :

  • On-site work at least 3 days per week at NASA HQ.

  • High level of confidentiality.

  • Proactive and strategic process improvement abilities.

  • Excellent written and verbal communication skills.

  • Advanced knowledge of Office 365 suite (SharePoint, Teams, Excel, Word, PowerPoint, Outlook).

  • Ability to quickly act in changing environments and communicate a clear direction to employees and customers with urgency.

  • Strong multi-tasking skills.

  • Strong decision-making skills, quickly utilizing analysis, experience, and judgment.

  • Quick learner who can quickly think critically to create innovative solutions for customer and employee needs.

  • Outstanding proactive customer service with strong problem-solving skills and the ability to anticipate customer needs by recognizing areas of opportunity and quickly providing solutions.

  • Individuals must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job.

Education and Experience:

  • Bachelor’s degree and four or more years of related professional experience or seven years of related professional experience in lieu of degree.

Pay Transparency Statement:

This posting is offering a pay range of $67,819 - $101,729 depending on experience, seniority, geographic locations, and other factors permitted by law. Benefits offered may include health care, dental, vision, life insurance, 401(k); education assistance; paid time off including PTO, holidays, and any other paid leave required by law.
