The Shared Services Administrator is a member of the Shared Administrative Operations (SAO) team within the College of Arts & Sciences’ Dean’s Office. The position assumes independent management of the day-to-day operations for a variety of programs and departments within the College. The incumbent serves as a resource to these departments/programs on university human resources and faculty appointment policies and procedures, handling payroll, purchasing, and accounts payable matters. Reporting to the Director of Administrative Operations and overseeing complex administrative processes, the Shared Services Administrator duties will include:

  • Serve as the main point of contact for faculty, staff, and other university administrators and interacting with persons and organizations, conducting business with the departments/programs.

  • Act as a key resource on University Human Resources and Faculty Appointment policies and procedures.

  • Handle HR-related administration in departments/programs, such as hiring, onboarding, termination paperwork, and payroll support.

  • Administer and reconcile purchasing, accounts payable, and other financial matters.

  • Plan events and design all marketing materials for these events, m aintaining, updating, and developing the respective website.

  • Coordinate space requests for teaching, events, and program activities.

  • Oversee logistical arrangements for the faculty travel and guest scholars visiting the University.

  • Maintain professional, cordial working relationships with all members of the department and all others who visit, conducting business with the department in support of the research, instructional, and service missions of the units.

Requirements and Qualifications

  • Bachelor’s degree with at least 3 years of professional work experience – preferably in an academic setting

  • Experience in managing administrative operations, leadership and budgetary oversight

  • Proficiency in Microsoft Office Suite, with particular emphasis on Excel (e.g., pivot tables, VLOOKUPs, macros) and experience and/or familiarity with managing database queries

  • Strong communication skills with the ability to learn quickly, be flexible and act resourcefully

  • Ability to work both independently and collaboratively

  • Familiarity with website management, social media and related analytics preferred

  • CourseLeaf, Cognos and Workday (Georgetown Management System) system experience preferred

  • Knowledge of Georgetown University financial and human resources procedures preferred

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$44,022.00 - $73,406.80

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
