National Health Care Associates, one of the leading providers of post-acute healthcare services in the U.S. is seeking a Payroll/Payroll Based Journal Coordinator to work out of our corporate office in Wethersfield, CT.

Our ideal candidate has 2-5 years of payroll processing experience, preferably in a long-term care setting.

What You'll Do:

As a Payroll Coordinator, you will process the payroll for each assigned skilled nursing facility ensuring the data and authorizations are compliant with company policy, ensuring that the time and attendance system is operational, and assisting with Payroll Based Journal (PNJ) reporting. Your attention to detail and adherence to payroll procedures will ensure accurate and timely payments for staff, increasing efficiency and enabling our facilities to provide high-quality resident care.

Key Responsibilities:

  • Process payroll for assigned facilities, ensuring data accuracy and compliance with company policies.

  • Review, interpret, and enter employee records (PAFs, wage attachments) into the HR/payroll system while performing audit controls.

  • Coordinate with HR staff to finalize timecards, lock adjustments, and export payroll files for processing.

  • Balance payroll batches with timekeeping systems, resolve errors, and process adjustments as needed.

  • Ensure payroll aligns with regulations; review for inconsistencies and secure approval before final submission.

  • Process retirement contributions, union benefit reports, dues, and related payments.

  • Act as an ADP subject matter expert, provide training, support end-users, and handle reporting requests.

  • Assist with reviewing and submitting Payroll-Based Journal data for compliance.

  • Communicate with ADP for special requests and troubleshoot issues.

What You'll Bring:

Qualifications of a Payroll Clerk include:

  • High school diploma or equivalent required

  • 2-5 years of experience in payroll processing, preferably in a long-term care setting

  • Familiarity with payroll software and Payroll Based Journal systems is preferred

  • Exceptional attention to detail

  • Basic computer / data entry skills and proficiency in office software including Excel

  • Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment

  • Strong interpersonal and communication skills

  • Ability to work effectively in a team environment

  • Ability to handle sensitive and confidential information with discretion
