Job Summary

Coordinator, On-Site Events Whippany and Morristown

Service delivery includes, but is not limited to, reception, concierge, guest services, amenities, food services, meeting & event planning. This position manages meetings/events at the NJ sites to be within budget, compliant and with an emphasis on cost savings.

The role is client facing and the coordinator must be able to exhibit outstanding client service and communication skills from the C-Suite down. This client service role provides the opportunity to combine a passion for service, exceptional people skills, and enthusiasm for creating a hospitality focused environment. The ideal candidate is a great communicator, whose intrinsic purpose is to build a sense of community, connection, and a focus on delivering business focused experiences that align with Bayer values and collaborative culture. Must be willing to drive between NJ campuses and availability must be flexible as required by event (some evenings/weekends).

Key Responsibilities:

Support all on-site events requests to include but not limited to:

? Verify Dates, availability of venue space, elements of support and booking confirmation

? Work cooperatively and jointly with internal stakeholders and vendor partners to ensure quality customer service and delivery

? Be the liaison between event requester and vendor partners (i.e. - catering, IT, AV and Media, Security, etc.)

? Anticipation and responds to needs and concerns of customer in a timely manner

? Attends weekly Event Order Meeting with Facilities and other departments for upcoming events

? Receives and responds to all requests or issues within 1- business day of receipt, including a personal follow up to Bayer employees to ensure questions / requests are answered.

? Identify potential risks and escalate, as appropriate, to ensure no privacy breach, security incident or disruption to the Bayer operations occur

? Collaborate with communications for messaging of site-wide employee events

? Be flexible (Bayer LIFE values); offer solutions

? Support the Facilities Team as needed to meet the need of clients and partners

? Provide assistance and direction according to the customer’s requests, appropriately handling queries from employees, visitors, and guests with timely response

? Document process and procedures regarding best practices and develops standard operating procedures or updates procedures in place when necessary

? Communicates to organization regarding processes for holding meetings and events on a Bayer campus in NJ

? Contribute to developing policy regarding management of on-site events

Perform additional facilities related job duties, as requested.

Qualifications:

  • 2-5 years prior experience in on-site event services and or hospitality preferred.
