Position Description

  • Approve, process and import AP invoices and billings from suppliers and subcontractors into the system.
  • Create owner contracts and process owner change orders through the internal program.
  • Review insurance certificates and ensure compliance is up to Hutton standards.
  • Run and distribute monthly billing reports for project managers to review.
  • Generate and submit billings to owners.
  • Generate monthly projection reports and submit to corporate office.
  • Upload plans, specifications, sketches, contracts, permits, safety reports, change orders, closeout documents, and warranties into the system.
  • Notify sub-contractors and suppliers of the substantial completion date to obtain closeout documents.
  • Scan and upload safety documents from the field.
  • Run and distribute monthly billing reports for project managers to review.
  • Replace, update, and/or print project drawings as needed.
  • Send out Huttons W-9 to vendors as needed.
  • Maintain files and vault filing.
  • Assist project managers and superintendents as needed.
  • Import project estimates from project managers and enter them into Viewpoint.
  • Complete any other tasks assigned by the team lead.
  • Assist the team with reservations and accommodations as needed.
  • Bid Comparison Sheets: draft/organize new bid comparison sheets, help Project Managers receive bids, enter on comparison sheets as needed.
  • Set up bid invites and bid packages as needed.
  • Create agendas, attend virtually and take minutes as needed.
  • Create submittal registers as needed.
  • Assist Project Managers with RFQs & RFPs as needed.
  • Create job numbers and folders for each new job as needed.

Position Requirements

  • Intermediate computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn Viewpoint (construction industry software).
  • Service-rooted attitude, providing assistance to others when needed.
  • Knowledge of Accounts Payable.
  • Superior organizational and analytical skills with keen attention to detail and quality.
  • Ability to communicate effectively both verbally and written with others inside and outside of the organization.
  • Ability to comply with instructions, procedures, standards, and policies using professional discretion.
  • Excellent time management skills, good judgement, problem solving, and analytical abilities.
  • Ability to work independently as well as collaboratively within a team environment.
  • Self-starter, detail-oriented, organized and have the ability to work effectively with minimal supervision.

Education and Experience:

  • High school diploma or GED required.
  • Associates degree or at least four years of related experience preferred.
