JOB DESCRIPTION AND POSITION REQUIREMENTS: The Office of Student Services and Engagement at Penn State Wilkes-Barre welcomes applications for the position of a part-time Administrative Support Assistant. The Administrative Support Assistant will be a detail-oriented and organized individual who will provide care and service to students as well as direct administrative and professional support to the Office of Student Services and Engagement which includes, athletics, counseling services, and student activities.
Job Duties Greet students, faculty, staff, and visitors; provide information and/or refer as appropriate; answer, review, screen and process telephone communications and mail; act on routine requests. Track and monitor budgets, gather information, and prepare fiscal reports as needed; may interact with vendors on quotes, invoicing and contracting for events. Process a high level of financial purchases and transactions in support of office operations, student organizations and student events including support for the Student Initiated Fee. Maintain credit card processes and reconciliation. These purchases require knowledge of University contracts, travel regulations, and financial policies. Generate, prepare, and maintain reports and spreadsheets, and authorize the processing of payments. Establish and maintain work unit files and databases. Perform tasks in Workday; onboarding partner for new hires including coaches, part-time associates, and student employees.Serve as timekeeper. Lead training and support the Office of Student Services and Engagement student employees with daily tasks, expectations, andscheduling/approvingpayroll hours. Arrange meetings; support coordination and planning of special events, conferences, and other functions (in purchasing, ordering, communicating events and event follow-up.) Coordinate travel arrangements, make reservations, and process reimbursements. Maintain inventory and order/purchase office supplies; arrange for equipment maintenance; process work orders. Provide, schedule, and maintain calendar of appointments, meetings, and travel itineraries for professional staff members in the Office of Student Services and Engagement. Determine office priorities and organization of the workflow for the department. Compose written communication and proofread documents, assist with the development, design, and production of office publications and webpages. May also assist the admissions and advising departments with similar administrative work as listed above. Other duties as assigned
