Job Description:
The Proposal Coordinator supports the Business Development (BD) Services team with development of qualifications materials, including proposals, SOQs, presentations and other materials necessary to secure new client and project opportunities. This position reports to the BD Services Manager of the respective business unit and works closely with key members of each business unit who are responsible for business development, proposal development, strategy implementation, and client management. This position also works closely with the Creative Services Team ensure alignment with brand standards and firm wide messaging themes. The ideal candidate will be in the Chadds Ford, PA; Nashville, TN; or Wilmington, NC area. Other locations may be considered. The ideal candidate will also follow a hybrid schedule several days a week.
Job Responsibilities:
Assist the Proposal Manager with coordinating the proposal process with key team members, focused on administrative and logistical aspects of the proposal development.
Collect and organize proposal information, including layout, resumes, project profiles, and content development.
Supports the proposal/SOQ lifecycle, planning, content development, and submission.
Lead subconsultant proposal requests.
Ensues compliance with proposal processes and best practices.
Works directly with prime contractors and subcontractors in preparation and submittal of proposal materials. Serves as the primary point of contact for clients during the proposal process.
Proofreads proposals and other marketing-related documents.
Works within the framework/templates developed by Creative Services.
Manages the allocation of resources, including team members and materials, to meet deadlines.
Develop and maintain boilerplate materials, project lists, resumes and project profiles for use in proposal and qualifications submittals.
Supports development and editing of presentations for shortlist interviews.
Supports the maintenance of business development information in Deltek Vantagepoint as needed.
Supports other BD related tasks as needed.
Required Skills/Experience:
Ability to work effectively with BD and Creative Services teams as well as a wide variety of staff, including business unit senior management.
Strong written and verbal communication skills.
Strong organizational skills to manage timelines, resources and multiple tasks.
Ability to lead and coordinate cross-functional teams, including SMEs and teaming partners.
Capability to analyze solicitation documents and RFPs.
Proficiency in Adobe InDesign/Adobe Creative Suite and MS Office.
Strong understanding of database management. Deltek Vantagepoint experience preferred.
When necessary, is willing to work extra time required to meet deadlines.
Willingness to travel as necessary to offices and professional meetings.
Bachelor’s degree in liberal arts, communications, or marketing preferred.
3+ years of experience in proposal development preferred, preferably in the AEC industry.

Ability to pass a background check which may include criminal history, motor vehicle record and credit check
Ability to pass a pre-employment drug screening
The compensation range for this position is between $68,000 to $90,000. Compensation for this position may vary based on geographic location and other factors. We remain committed to providing competitive and equitable compensation to all employees, regardless of their location.
