Description

We are partnering with a small, passionate social services agency dedicated to providing exceptional care to our community. We strive to enhance and deliver quality support to individuals and families in need. We’re currently seeking a dedicated, organized, and experienced Office Manager to join our team and help us create a more efficient office environment.

The Office Manager will play a pivotal role in streamlining our office operations. The successful candidate will be responsible for overseeing daily administrative operations, providing support to our staff and clients, and ensuring that our office runs smoothly and efficiently.

Responsibilities:

  • Managing clerical or other administrative staff.

  • Organizing office operations and procedures.

  • Control correspondence, design filing systems, review and approve supply requisitions, and monitor clerical functions.

  • Maintaining office efficiency by planning and implementing office systems and layouts.

  • Handling HR duties such as liaising with recruitment agencies, setting up interviews, and maintaining employee records.

  • Coordinating with IT department on all office equipment.

  • Managing relationships with vendors, service providers, and landlord, ensuring that all services are properly carried out and relevant bills are paid on time.

  • Planning and executing in-house or off-site activities, like parties, celebrations, and conferences.

  • Managing budgets and ensuring cost-effectiveness.

    Requirements

Qualifications:

  • Proven experience as an Office manager, Front office manager, or Administrative assistant.

  • Knowledge of office administrator responsibilities, systems, and procedures.

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).

  • Excellent time management skills and ability to multitask and prioritize work.

  • Strong organizational and planning skills in a fast-paced environment.

  • A creative mind with an ability to suggest improvements.

  • Ability to maintain a high level of accuracy in preparing and entering information.

  • Good interpersonal and communication skills.
