What you'll do:

  • Purchase Order Creation and Dispatching : Responsible for creating and dispatching purchase orders through multiple systems, including JDE and the SI7 work order portal.

  • Work Order Management : Oversee the management of work orders, ensuring they are processed efficiently and accurately. Enter and log repair and service work orders, including necessary assets.

  • Budget Development : Development of annual budgets, ensuring alignment with organizational goals and financial constraints.

  • Monthly Accruals : Accrue for completed work not yet invoiced, run reports for late-dispatched work orders, and correct mis-posted expenses.

  • Monthly Forecast and Workbook Development : Prepare monthly forecasts and workbooks, including detailed variance commentary to explain deviations from the budget.

  • CWA and BCR Creation : Complete CWAs for unbudgeted, non-recurring costs and BCRs for permanent budget changes due to service scope adjustments.

  • Invoicing : Verify and approve vendor invoices, ensuring accuracy and appropriate cost allocations. Send reminder emails to vendors at specified intervals if they delay invoicing. Address and resolve billing inquiries from clients and vendors promptly and professionally.

  • Additional Expenses : Log expenses from vendors not in the system, enter GLs for orders, and reconcile expense for credit card purchases.

  • Contract Support Management : Provide support in managing contracts, including reviewing terms, requesting renewals, ensuring compliance, and maintaining documentation.

  • Record Keeping and Organization : Maintain organized records of all financial transactions and documentation, ensuring easy retrieval and compliance with regulations.

  • Vendor Management : Manage relationships with vendors, including negotiating terms, resolving issues, and ensuring timely invoice processing.

  • Financial Analytics : Conduct review of financial documents (PO logs, accruals, forecasts) to ensure accuracy, identify trends, and provide insights into financial performance.

  • · Additional Responsibilities : Manage various administrative tasks as directed by manager.

What you’ll need

  • Strong financial background with budget management, invoicing, accruals and forecasting required.

  • High School Diploma or GED with 5+ years of job-related experience. Prior shift manager or supervisory experience preferred.

  • In-depth understanding of a range of processes, procedures, systems, and concepts within own job function and basic knowledge of related job functions required.

  • Requires the ability to explain complex concepts or sensitive information.

  • Expert knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

  • Excellent organizational skills with a master- level inquisitive mindset.

  • Exceptional math skills. Ability to calculate sophisticated figures such as percentages, discounts, and markups.
